We are seeking a motivated, reliable professional to provide administrative support to our real estate department. We offer a competitive salary based on experience and a number of employee benefits.

Duties and Responsibilities:

  • Assist with preparing, formatting & editing various documentation for residential and corporate/commercial real estate purchases, sales and mortgage transactions
  • Preparing and proofing legal descriptions from survey plans
  • Ensuring electronic and paper filing is kept up to date and organized
  • Communicating with clients, lenders, law firms and other businesses to obtain required information
  • Facilitating the closing of real estate transactions
  • Preparing final reporting packages to clients and lenders
  • Assist with deliveries to other businesses
  • Coordinating with and assisting other team members to foster a team-oriented environment

Title Searcher

We are seeking a detail-oriented and organized Title Searcher to join our team. In this role, you will be responsible for conducting thorough research and analysis of property titles to ensure clear ownership and identify any potential title issues. The ideal candidate will possess strong analytical skills, attention to detail, and a commitment to accuracy.

Duties and Responsibilities:

  • Complete and submit title searches to the appropriate lawyer by the due date provided
  • Complete and submit daily sub-search requests in a timely manner
  • Conduct judgment searches on all title searches
  • Continuously prioritize workload according to objection dates and closing dates, and coordinate adjusting priorities with property department and/or lawyers
  • Maintain communication between law firm and registry office through email, phone or fax
  • Respond to office requests for documents and general property inquiries
  • Coordinate the daily (morning and noon) pick-up and drop-off of documents, search requests, completed searches, etc. at the firm
  • Coordinate daily commute to the courthouse for estate document retrieval and judgments/actions search
  • Meet with lawyers and/or property department to review completed searches, as required
  • Correct small errors, as allowed, on documents to be registered so that the registration process flows smoothly
  • Properly index completed searches (in search books and electronically) for ease of future retrieval
  • Maintain orderly subdivision files in order to complete efficient subdivision searches
  • Protect confidential client information in a public space
  • Train and coach new searchers or articled clerks, as required

Knowledge and Skills:

  • Understanding of PEI’s Land Registry System

Litigation Assistant

We are seeking a an energetic and motivated litigation assistant to our team. This role would be well-suited to a candidate with prior experience as a paralegal or legal assistant with a focus on litigation.

Duties and Responsibilities:

  • Draft pleadings, motion records, affidavits of documents and related court documents and correspondence
  • Collect, review and prepare required documents for assembly of affidavits of documents, motion records and other court documents
  • Communicate with all levels of courts and other parties for scheduling and sharing appropriate information relating to specific matters
  • Review and summarize documents, including medical records and other third-party documents
  • Assist in the preparation of settlement offers
  • Maintain a detailed bring forward system to ensure deadlines are met and requested documentation is received
  • File and serve court documents
  • Organize case files
  • Direct contact with clients to obtain necessary information
  • Other duties, as required

Knowledge and Skills:

  • Strong understanding of the Rules of Civil Procedure, court rules and procedures
  • Strong understanding of legal terminology and documents
  • Familiar with legal research
  • Ability to work independently

Pay: From $40,000-$60,000.00 per year
